Publisher's Policies

Publisher's payment terms and policies supercede terms included on advertising agency/client-generated insertion orders.

Payment Terms

Advertisers and advertising agencies are jointly responsible for payment of all insertions and will be billed at the 1x rate unless contract and insertion orders specify a higher frequency. The Association Forum will invoice the advertising agency or advertiser immediately after publication and will send tear sheets of the advertisement with invoice as proof of insertion. Payment must be received within 30 days of invoice date or finance charges of 1.5% per month will be incurred. When payment accompanies insertion order, a 5% discount is given. Accounts more than 60 days delinquent are prohibited from advertising in any Association Forum publication or participating in any Association Forum event until payment is received. Accounts more than 90 days delinquent are turned over to a collection agency. Advertisers who do not fulfill their frequency contracts will incur a short rate, which will be billed at the end of the advertiser's contract.

Rate Protection

Rates are subject to increase November 1, 2003. All insertion orders received prior to that date will be protected at the 2003 advertising rates through March 2004 for advertisers under contract.

Closing Deadlines

Insertion orders must arrive by the published space closing date or advertising will not be published for that issue. See FORUM Editorial Calendar for closing dates. Verbal confirmations are not acceptable. Previous ads will be repeated if new artwork is not received by the published materials closing date.

Agency Commissions

15% of gross billing allowed to recognized agencies on space, color, and position when payment is received within 30 days of invoice date. Tear sheets accompany billing. No commissions allowed on billable production charges incurred by the advertiser.

Indemnification/Liability

Publisher reserves the right to refuse copy deemed inappropriate to Association Forum policies and standards. Advertisers and agencies assume liability of all content of advertisements and for any claims arising thereof against the publisher. Advertisers and their agencies agree to indemnify and protect the publication and association from any claim or action based on content of advertisements published. Publisher reserves the right to hold the advertiser and/or its agency jointly and severally liable in the event of non-payment, for such moneys without commission as are due and payable to Association Forum.

Cancellations

Cancellations or changes to insertion orders must be received verbally and in writing by the space reservation closing date. Cancellations or changes made after that date will be billed in full for space.

Returns

Advertising materials will be held for one year and then destroyed unless otherwise requested in writing.

Note: Advertisers running the same ad in more than one Association Forum publication must provide separate artwork for each publication in the event there is a production overlap.
